Information we collect about you
The type of personal information we collect about you will depend on the services you use or subscribe to. This may include your name, postal address. date of birth, telephone number and email address; payment data including transaction details; prior purchases and interactions; goods and services purchased; and other information you choose to supply yourself. We may also collect information about family members for membership and competition purposes, including names and ages of children.
How personal information is collected and held
We collect personal information when you join; renew your membership; purchase goods and services from our websites; make a tee-time booking; communicate with us; or otherwise connect with us such as when you post to social media; sign up for a newsletter or participate in a survey.
We hold personal information electronically at our web servers and with the assistance of our third-party service providers. We implement a range of measures to protect the security of that personal information.
Third party providers
In general, the third-party providers used by us will only collect, use and disclose your information to the extent necessary to allow them to perform the services they provide to us.
Trentham Golf Club will not disclose your personal information to parties other than those outlined below without your consent.
Trentham Golf Club collects personal data for membership administration purposes, including as required by the Incorporated Associations Act. This data is limited to your name, address, birth date, occupation, contact phone and contact e-mail. We use a secure server provided by Club2ic (Topspin Systems NZ Pty Ltd) for online membership administration, including renewals and payments. Your data is not shared with any other parties and is confidential between Trentham Golf Club and Club2ic.
Trentham Golf Club discloses or obtains your personal contact data for competition, tournament and handicapping purposes. We use a secure server provided by OneGolf (MiClub Pty Ltd) for this purpose. MiClub also provides your data to Golf Australia’s GolfLink national handicapping system. The privacy policies of these providers applies in this case.
Certain third-party service providers that provide transaction processing between you and Trentham Golf Club (such as Paypal or your bank) have their own privacy policies. For these providers, we recommend that you read their privacy policies so you can understand the manner in which any personal information will be handled by these providers.
How we use your information and who we may disclose it to
We only use personal information to provide the services you request, such as memberships, green fee passes, administration of competitions, payments and teetime bookings. We do not sell, rent, loan, trade or lease the information stored in our databases to any unrelated third parties. Trentham Golf Club uses the information you provide to us to help you more easily access the services that Trentham Golf Club provides.
We may also send you marketing material such as newsletters, information on forthcoming events, and offers and services. This will be limited to material provided by Trentham Golf Club. You may choose to ‘unsubscribe’ from our mailing list or contact us using the details below, and no further material or communications will be sent to you.
If you post reviews or comments about Trentham Golf Club on our websites or Club social media pages such as Facebook you grant us the right to use or reproduce such reviews and comments. You also grant the Club the right to use your name with any review or comment that you submit.

Storage and security of your personal information
Any personal information that we collect about members and customers, including email addresses, will be kept in the Club’s database. The database will be accessible only by those authorised to perform normal daily tasks such as updating addresses, managing bookings and renewing membership. The Club will take all reasonable precautions to protect the personal information it holds from any misuse, loss, unauthorised access, modification or disclosure.
The internet is not a secure environment. If you use the internet to send us any personal information, the Club will not be liable for events arising from unauthorised access to your information. If you have reason to believe that your interaction with us is no longer secure, please immediately notify us in accordance with the ‘Contact Us’ section below.
Access to your information
You have the right to access and correct most of the personal information we hold about you. If you wish to have access to or correct your information, please send us an email or letter at the addresses provided below. If the Club does not allow you to access or correct your personal information we will provide you with the reasons for our decision.
Accuracy of your information
Once we receive personal information from you, we take all reasonable steps to ensure that all the information we collect, use or disclose is accurate and up-to-date. If you think that any of your personal information held by us in inaccurate, please send us an email or letter in accordance with the ‘Contact Us’ section below and we will take reasonable steps to ensure that it is corrected.
